GIFTS IN SUPPORT OF

EXTRA-CURRICULAR/COCURRICULAR ACTIVITIES

 

A.      Purpose and Scope

To establish procedures for administering Board policy on gifts in support of extra-curricular/cocurricular activities

B.     General

1.      If an organization or individual wishes to donate equipment or money to support an extra-curricular/cocurricular program, it shall make known its intentions in writing to the Board of Education, having first consulted with the principal and the superintendent. Board approval shall be obtained prior to a purchase being made or any commitment made by the principal or superintendent in cases involving the sponsoring of activities where groups of students participate.

2.      In cases where the school district, due to financial limitations, is unable to support a extra-curricular/cocurricular activity which would prove advantageous in the educational process or conducive to the general welfare of children, community groups may be permitted to make gifts to the school district for the purpose of providing the activity. In the cases of athletic teams, specific criteria will prevail (listed under D. procedure).

3.      Requests to sponsor an athletic team shall be made in writing to the Assistant Superintendent - Educational Services, at least thirty (30) days prior to the last League meeting of the school year.

4.      Decisions regarding approval of written proposals will be based on the merit of the program as it relates to district goals, the educational process, and the general welfare of children.

D.     Procedure

1.      A written proposal which is to be approved annually, outlining the purpose of the gift and how the funds are to be raised, shall be presented to the principal and the superintendent prior to Board of Education consideration.

2.      The administration will ensure that each school will have an opportunity for participation prior to final board approval.

3.      A sport may be authorized only when the secondary principals indicate that facilities are adequate to support the sport requested.

4.      The cost of establishing the sport is to be determined by the superintendent after consultation with the staff; any money which is raised must be contributed directly to the district as a gift but may be designated for a specific school.

5.      Teams are to be formed only when there is league competition for that sport.

6.      Title IX considerations are to be reviewed for any proposed reestablishment of an athletic program.

7.      Monies to be raised are to be deposited with the district in accordance with established policy sixty (60) days prior to final League commitment.

8.      It is understood that if a sport is established through private contributions rather than routine administrative procedures, that this sport would continue to be administered in all aspects by the building principal as if it were part of the interscholastic sports program routinely approved by the board.
