LENDING OF
SCHOOL DISTRICT EQUIPMENT AND PROPERTY
A. Purpose
and Scope
To establish regulations governing lending of school district equipment and property
B. General
1. District-owned
equipment will remain in the school district and not be loaned to any
individual or group with the exception of equipment referenced in a Joint
Powers Agreement or technology equipment needed for professional growth use of
district employees.
2. The
request for loan of technology equipment for employee professional growth must
be addressed as follows:
a. All
requests for loan of district-owned technology equipment by school site
employees should be directed to the school principal/designee. The school
principal/designee will assess educational need and either approve or
disapprove the request.
b. All
requests for loan of district-owned technology equipment by non-teaching
employees should be directed to the school principal/designee or the employee's
immediate supervisor. The school principal/designee or employee's immediate
supervisor will assess educational need and either approve or disapprove the
request.
c.
All other requests for use of district-owned technology
equipment must be authorized directly by the superintendent.
3. Only the
items listed below may be loaned to employees.
a. Computer
b. Monitor
c.
Printer
d. External
Disk Drive
e. Mouse
f.
Laser Disk Player
g. Video
Cassette Player (VCR)
h.
Video Camera and Accessories
i.
Science Peripherals (probes, thermometers, etc.)

Technology Equipment Checkout Form
D. Procedure
1. The user
must secure approval in accordance with district policy from the
superintendent/designee, site principal, or immediate supervisor.
2. The
"Technology Equipment Checkout Form" must be completed. One copy of
the completed, signed form should be retained at the site from which the
equipment is loaned, one copy given to the borrower, and one copy forwarded to
the Educational Services Division for purposes of inventory control. When equipment
is returned, the borrower copy and the school copy should be dated and signed
to verify the return. The borrower retains the borrower's copy as a receipt.
The school/site copy is forwarded to the Educational Services Division where
both the site and Educational Services Division copies will be destroyed.
3. Dependent
on the number of requests, no piece of equipment may be checked out for more
than eight weeks during the summer or longer than any vacation period during
the regular school year.
4. No
equipment may be checked out during summer or vacation periods if such
equipment will be needed at the site during these times, i.e. summer school,
Saturday school, after-hours tutorial, etc.
5. Responsible
unit's sites will conduct an equipment inventory of all technology equipment
available for checkout at the beginning of school, at the end of the first
semester, and at the end of the school year.

F. Record
Retention
The "Technology Equipment Checkout Form" should be retained for the school year in which the equipment is borrowed.
